Running a One Person Business With AI
Set up simple AI routines for admin, clients and marketing when you are the whole team
A taste of a lesson
I get the same five questions from potential clients every week. How would you set that up?
Write five short templates first, one per question, with your real answers, prices if you share them, and a booking link. Then the routine is: paste the enquiry into your AI tool with the matching template and ask it to add two lines that respond to what this person specifically said. You read it, adjust anything that sounds off, and send. Keep a note of how long each reply takes for two weeks. Which of the five questions do you find hardest to answer well right now?
Written by the teacher as an example. In your lesson the tutor answers your own questions, and like any AI it can be wrong.
What you will be able to do
- Audit your week and find the tasks where AI can save real time
- Build an enquiry reply and follow up routine that still sounds personal
- Turn call notes into proposals and quotes faster, with your own checks
- Keep client confidential material out of tools you have not vetted
- Write a weekly operating rhythm and a list of tasks you will not automate
Lesson plan
- 1 Where your week really goes Track your time roughly and spot the tasks worth changing first. Start

About this tutor
For freelancers, sole traders, coaches, makers and consultants who run everything themselves. Whether you are just starting or have years of clients, you will audit where your week actually goes, then build a small set of AI routines: an inbox and enquiry routine, a proposal and quote helper, a weekly content habit, meeting notes and follow ups, and a monthly admin check. The emphasis is on keeping control: you decide what AI drafts, what you always check, and what client information stays out of AI tools. You finish with a written weekly operating rhythm that fits your business and a short list of tasks you have chosen not to automate.

Helpful ideas but quite basic for my situation. The list of tasks not to automate was the part I keep coming back to.

Solid for someone a few years into consulting. The confidentiality lesson made me reread two contracts. I would have liked more on proposals, but the notes to outline workflow is now how I work.

I am a freelance illustrator. The time audit was humbling, I was spending a whole day a week on email. The enquiry templates plus personal lines cut that a lot without clients noticing anything robotic.

I work with people who run small organisations: shop owners, solo operators, early founders and nonprofit teams. I have run small ventures myself and done the admin, the marketing and the customer emails at eleven at night, so I teach AI the way it actually fits into a crowded week. We start with the job you hate most, try one...
